Door Access: UniFi Access on Your Phone and the Web

Your company's doors use UniFi Access, made by Ubiquiti. Once your company asks us to give you access, you can see your doors, unlock a door and check who came in. You can do it on a computer, or with the UniFi Access app on an iPhone or Android phone. Setting up your account takes about 5 minutes, one time only.

The short version

  1. Open the invitation email and click Accept Invitation.
  2. Type your work email on the sign-in page.
  3. Click "Forgot password?" to set your first password.
  4. Sign in and type the code Ubiquiti emails you.
  5. Accept the invitation at unifi.ui.com.
  6. Click the Access icon. Your doors open.

After that: use UniFi Access in a web browser, or get the UniFi Access app on your iPhone or Android phone.

Before you start, have these ready

  • Your work email inbox. Three emails from Ubiquiti will arrive there during setup.
  • A computer with a web browser. Google Chrome works best.
  • About 5 minutes.

The red numbers in each picture show what to click. The names in the pictures are examples. You'll see your own company's name instead of Contoso - Main Office.

Set Up Your Account (One Time Only)

Do these steps on a computer. Once your account works, you can add the app to your phone in a couple of minutes.

Step 1: Open the Invitation Email

Look in your work inbox for an email from UniFi OS. The subject is You've been invited to access, then the name of your system. It's sent from no-reply@notifications.ui.com. Ubiquiti is the company that makes the door system.

  1. Open the email.
  2. Click the blue Accept Invitation button (1). An email with the subject You've been invited to access Contoso - Main Office, from UniFi OS, Contoso - Main Office, no-reply@notifications.ui.com. The email says Site Manager Invite: System Administrator has invited you to access Contoso - Main Office. Click below to accept. The blue Accept Invitation button is marked 1.
Can't find it? Check your Junk or Spam folder, or search your mail for UniFi. Still nothing? See I can't find the invitation email.

Step 2: Type Your Work Email

The button opens Ubiquiti's sign-in page in your web browser.

  1. Type your work email address (1). Use the same address the invitation was sent to.
  2. Click the blue arrow (2). Ubiquiti's sign-in page. The Email or Username box, with jordan.taylor@contoso.com typed in, is marked 1. The blue arrow button next to it is marked 2. Below are Remember me and Don't have a free UI account? Create one.
Don't click "Create one." The invitation already set up an account for your email address. Go on to Step 3, even if you've never used Ubiquiti before.

Step 3: Click "Forgot password?" to Set Your Password

A Password box appears. You haven't chosen a password yet, so:

  1. Click Forgot password? (1), just above the Sign In button. The sign-in page with the email address filled in and an empty Password box. The Forgot password? link, above the blue Sign In button, is marked 1.
  2. Go back to your inbox. Within a minute or two you'll get an email from Ubiquiti Inc with the subject Password Reset (1 in the picture below).
  3. Open it and click Reset Password.
  4. Choose a password, type it twice and save it. Keep it somewhere safe. You'll need it to sign in on a new computer or phone.

This is the normal way to set your first password. It's not an error.

Already have a Ubiquiti password for this email? For example, from camera access. Type it in, click Sign In and go to Step 4.

Step 4: Sign In and Type the Code

  1. Go back to the sign-in page. Sign in with your work email and your new password.
  2. Ubiquiti emails you a code. The subject is MFA Login Authentication (2). An inbox with three emails. From Ubiquiti Inc, subject MFA Login Authentication, marked 2. From Ubiquiti Inc, subject Password Reset, marked 1. From UniFi OS, Contoso - Main Office, subject You've been invited to access Contoso - Main Office.
  3. The code looks like XX-123456. Yours will be different. Type it on the sign-in page.
The code works for 10 minutes. Type it in right away. If it runs out, sign in again and use the newest code.

Step 5: Accept the Invitation at unifi.ui.com

  1. Open a new browser tab and go to unifi.ui.com.
  2. You'll see a box with your system's name and You've been invited by. It usually says System Administrator. That's us.
  3. Click Accept (1). Don't click Decline. The UniFi Site Manager page. A box shows Contoso - Main Office and You've been invited by System Administrator, with Decline and Accept buttons. The blue Accept button is marked 1.

Step 6: Open UniFi Access

The box changes. It now shows your system as a card with a green bar.

  1. Click the Access icon on the card (1). The card may show other icons too, like Protect for the cameras. The UniFi Site Manager page with a card for Contoso - Main Office: a green status dot, a green bar from 8:15 AM to Now, and below it two round icons. The second one, a door icon labeled Access, is marked 1, with the mouse pointer on it.
  2. UniFi Access opens. You're all set.

Use UniFi Access in a Web Browser

UniFi Access shows the doors you have access to. Depending on the access your company chose, you can see whether each door is locked, unlock a door from your desk, and check who opened which door, and when.

Next time: go to unifi.ui.com, sign in, and click the Access icon. To save time, bookmark the page once it's open: press Ctrl + D (Windows) or Cmd + D (Mac).
Unlocking a door for someone? Only unlock a door from your desk or phone when you know who's there.

Get the UniFi Access App on Your iPhone or Android Phone

Set up your account on a computer first (Steps 1 to 6). Then:

  1. On your phone, get the free UniFi Access app made by Ubiquiti Inc.:
  2. Tap Get (1) on an iPhone or Install (2) on Android. Two store listings side by side. On the left, the App Store for iPhone and iPad: UniFi Access, Manage Doors Anywhere, with the Get button marked 1; free, age 4+, developer Ubiquiti Inc. On the right, Google Play for Android: UniFi Access by Ubiquiti Inc., with the Install button marked 2. Both show the same blue app icon with a white door reader.
  3. Open the app and sign in with your work email and the password you chose in Step 3.
  4. If Ubiquiti emails you a code, type it in. It's the same kind of code as in Step 4.
  5. The app may ask to send you notifications. That's your choice. If your building has a door intercom and your access includes it, notifications tell you when someone rings.

Can't install it? The app needs a fairly recent phone: currently iOS 17 or later on an iPhone. Update your phone first. On an iPhone, go to Settings > General > Software Update.

Use the App

The picture below is from an iPhone. The Android app looks almost the same and works the same way.

  • Your system's name is at the top (1). If you have more than one, tap it to switch.
  • Your doors (2) show whether each one is locked. The round button on a door unlocks it, if your access allows.
  • Recent Unlocks (3) shows who opened which door, and when. Tap See All for more.
The UniFi Access app on an iPhone. At the top, a button with a green dot and Contoso - Main Office is marked 1. Under All Locations (4), four doors with camera pictures are marked 2: Front Entrance, Side Door and Warehouse, all Locked, and Back Door, Open. Each door has a round button. Below, Recent Unlocks with See All is marked 3, followed by Front Entrance 2 minutes ago, Side Door at 9:58 AM and Warehouse at 9:41 AM.

Is the invitation email real? I wasn't expecting it.

Use Forgot password? on the sign-in page, just like in Step 3, and choose a new one.

I can't see a door I need, or I can't unlock it.

Your company decides who can see and unlock which doors, and when. Ask your manager. They can submit a support request and we'll make the change.

Someone else needs access, or someone has left.

A manager can submit a support request with the person's name and work email. We'll send a new invitation, or remove their access and turn off any key cards. When someone leaves the company, include it in the offboarding request.
